Memorabilia Intake & Provenance

A practical intake record for photographs, flyers, tickets, badges, programmes and other physical or photographed material contributed to Chelmsford Rocks. The aim is to preserve the contributor's evidence without turning an image into a stronger historical claim than it can support.

Core rule: first record what the object shows; then record what the contributor says about it; only then add independent research. These layers remain distinguishable in the public archive.

Five-stage intake

  1. Preserve the supplied item. Keep the supplied image or scan as a source object, with its filename, receipt date and checksum recorded where available.
  2. Transcribe visible evidence. Capture names, venue, date wording, times, prices, promoters, tour wording and any other readable text. Do not silently repair spelling or typography.
  3. Record provenance separately. Note who supplied the item and any stated ownership or context. A social-media photograph, for example, proves the photograph existed on that date; it does not automatically date the original object.
  4. Assign an evidence state. Use dated item, undated local lead, memorabilia/provenance, or away archive until independent evidence justifies a stronger event record.
  5. Cross-check before promotion. Contemporary press, programmes, venue records, archive catalogue entries, recordings or independent memories can move a lead into the main event index. Until then, the uncertainty remains visible.

What a contribution can and cannot establish

Usually strong

  • Printed venue and event wording
  • Printed day/date and ticket price
  • Names visibly printed on the item
  • Physical design, promoter wording or tour branding

Usually needs corroboration

  • An unprinted year
  • Who actually performed versus who is named as promoter/organiser
  • Whether a surviving reproduction is contemporary
  • Ownership history of badges, papers and other objects
  • A claimed connection to a particular Chelmsford gig

Archive preservation boundary

This website copy is a research presentation layer. Original masters and source material remain separate from web copies. Where copyright or ownership is unclear, the archive records the material and provenance without assuming publication rights.

Essex Record Office states that it cares for printed material, photographs, sound recordings, video and digital records, and welcomes discussions about donations of Essex historical material. Its guidance also distinguishes access from reproduction permission. That is a useful model for keeping evidence, access and publication rights as separate fields.

Contributor checklist for future material

  • Keep the original item if possible; photograph or scan both sides.
  • Do not crop away edges, annotations, stamps, ticket numbers or handwritten notes.
  • Record who supplied the item and anything they remember about its origin.
  • Give the archive the exact wording visible on the item before adding interpretation.
  • If the item is already online, record the post date and source context separately from the object's apparent age.
  • Where possible, supply the original-resolution image as well as a web copy.

MR-006 · The Vibrators / Pure Mania tour poster

Source image: supplied tour poster. Printed Chelmsford entry: “26th Chancellor Hall Chelmsford”, appearing in the June section of the itinerary.

Provenance state: user-supplied source image preserved as a separate web copy; original upload retained separately. Historical use: direct corroboration of the 26 June Chancellor Hall day/month. The June placement is visible in the supplied image; the 1977 year remains the event-record dating rather than a silently inferred printed year.

Boundary: this poster strengthens the 26 June record but does not erase the separate 7 July Chancellor Hall entry.
