Archive Evidence Register

New contribution: five newly supplied memorabilia images are now preserved as a separate contribution set. View the memorabilia set →

A compact register of the evidence types used by the Chelmsford Rocks archive, what each can establish, what it cannot establish on its own, and where the material can be accessed.

Purpose: this register is about evidence handling, not a new list of gigs. It is designed to make the archive's reasoning visible and to stop access gaps being mistaken for historical absence.

Evidence classes

Source classBest useBoundaryTypical route
Contemporary event material
programme, ticket, poster, press listing
Pin down an event, date, venue or advertised bill.An advertisement proves what was announced; it does not automatically prove that the event happened exactly as advertised.Original archive files, local press, surviving collections.
Archive catalogue record
catalogue description/reference
Establish what the archive says it holds and identify a precise reference to investigate.A catalogue description is not necessarily the full text or full content of the item.Essex Archives Online.
Surviving recording
SA 30/6 and related material
Provide unusually direct evidence of performers, songs, announcements and the recorded evening.Survival of a tape or part does not automatically establish every missing part, venue detail or complete bill.Online access where offered; otherwise Searchroom / playback route.
Contemporary club papers
SA 30/2/3/4
Trace venue periods, newsletters, guest lists, membership and club administration.Document date and performance date can differ; a guest list is not necessarily a complete gig listing.Archive catalogue + original material.
Oral history
SA 30/7
Recover memories, context, people, places and leads to earlier material.Memory can be approximate; an oral-history claim remains distinct from a contemporary event record unless corroborated.Catalogue / online or Searchroom access where available.
Later memory / personal recollectionGenerate leads and preserve lived experience that may not exist elsewhere.Useful evidence, but not silently upgraded into a verified date or venue.Chelmsford Rocks People's Memories and source masters.

Access status vocabulary

Online / catalogue-led

The catalogue or published archive page can be consulted remotely. This may include a description without the underlying document being fully visible.

Online recording

The archive makes a recording or extract available through an online route. The accessible portion still needs to be described accurately rather than assumed to represent the whole item.

Searchroom / access-controlled

The material may require an Archives Card, Searchroom visit or other access route. Copyright can also restrict some recordings to the Searchroom.

Not yet catalogued / digitised

No online catalogue route should be treated as proof that the material does not exist. The Record Office advises contacting it about material that has not yet been catalogued or digitised.

Why access belongs in the evidence record

Essex Record Office says its catalogue describes archive items and includes some digital images and sound/video, while other recordings may be Searchroom-only because of copyright. It also says some recordings have not yet been catalogued or digitised. For this project, that means “not checked online” is an access state, not a historical conclusion.

Research discipline

  • Quote or summarise the source before interpreting it.
  • Keep document dates separate from performance dates.
  • Keep catalogue fact separate from what the original item may still reveal.
  • Keep memory and oral history identifiable as such.
  • Preserve disagreements instead of silently reconciling them.
  • Record the next action when an answer remains open.
